- Deputy Treasurer
Description
The Deputy Treasurer supports the daily operations of the Village by performing a wide range of administrative, financial, and customerservice functions. This role is responsible for assisting the Clerk and Treasurer with daily tasks and assisting residents with any questions or concerns. The Council may stipulate any other qualifications of the Deputy Treasurer, with recommendations from the Personnel Committee and the Village Manager. The Deputy Treasurer shall report to the Village Manager.
Compensation is to be on an hourly basis. This is a part-time, in office position.
The Deputy Treasurer is responsible for
Collect and process property tax payments; enter transactions into the Tax Module and Cash Receipts system.
Process all in-person payments, including:
Old Town Hall reservations
Permit fees
State and County checks
Enter all payments into the Cash Receipts module and prepare documentation for bank deposits.
Prepare the monthly Treasurer’s Report for the Village and DDA.
Generate the monthly disbursement report for Village Council meetings.
Assist with financial documentation required for audits or Council review.
Research, prepare, and submit grant applications on behalf of the village. Track grant requirements, deadlines, and reporting obligations.
Manage reservations for the Old Town Hall and Crossman Park.
Handle distribution and tracking of water testing bottles.
Provide front-desk support, answer phone calls, and assist residents with inquiries or service needs.
Complete various required municipal forms throughout the year.
Maintain records and documentation related to ongoing projects, including road project tracking.
The Deputy Treasurer will assist the Clerk with
Receiving, logging and preparing incoming mail for review and distribution by designated staff.
Manage the Accounts Payable module, including invoice entry, verification, and payment processing.
Maintain accurate records of all incoming correspondence.
Utilize the General Ledger module to oversee and review all journal entries.
Perform monthly bank reconciliations for:
Village of Ortonville
Downtown Development Authority (DDA)
Friends of Amos
Collect and total timesheets for the office, DPW, and Village Council
The Deputy Treasurer will assist the Treasurer with
Processing bi weekly payroll, run payroll reports, and submit payroll tax payments
Requirements
BS&A Software experience preferred
5+ years of accounting background preferred
Knowledge of Microsoft Excel and Word
