Job Description:
Budget Title: Senior Staff Assistant (SL-3)
Salary: Commensurate with experience
The Senior Staff Assistant to the Dean for the Thomas J. Watson College of Engineering and Applied Science provides comprehensive support to the Dean of Watson College enabling the efficiency and effectiveness of the Dean.
The Senior Staff Assistant coordinates multiple, complex priorities in a demanding, fast paced and high-profile environment facilitating the efficient utilization of the Dean's time and travel and managing office workflow by simultaneously handling numerous details and challenging situations. This includes screening requests made of the Dean for appropriateness and dispositioning of requests. At all times, the Senior Staff Assistant maintains confidentiality and a high degree of discretion, in addition to constant, clear communication with the Dean.
As an integral member of the Dean's Office, the Senior Staff Assistant works closely with the Dean and office colleagues, acting as a liaison and communication focal point to Watson College Departments and Schools, other School/College Dean's Offices, Office of the President and Provost, Offices of Vice Presidents and other senior university officials, students and parents as well as other external stakeholders including alumni and donors, government leaders, industrial partners, advisory board members and university collaborators.
The person in this position will:
- Work closely with the Dean to ensure smooth day-to-day operations collaboratively, determining actions items, troubleshooting conflicts and handling responses independently, when appropriate;
- Assist the Dean with administrative, academic, research, and student (project) management related to these duties. These could include but are not limited to, research to develop background for specific initiatives that the Dean would be working on, gather, compile and analyze appropriate data; develop and execute benchmarking efforts with regard to other organizations, including other peer and aspirational campuses and colleges;
- Prepare the Deans' external and internal communication to faculty, staff, and students as well as external constituencies and serve as point of contact for visitors to the college on behalf of the Dean, coordinating schedules and ensuring visits are seamless. Review emails and other communication for the Dean. Prioritize actions/next steps that arise from these communications, and help the Dean with next steps;
- Plan and implement special event programming as required, with attention to detail and problem resolution as required;
- Be responsible for administrative matters for the Dean in his absence or as delegated;
- Assist in the scheduling and preparation for internal and external meetings with various stakeholders, including gathering material and preparing presentations;
- Coordinate and arrange international and domestic travel plans, and related travel documents (detailed itineraries, complete visa applications, R&As, etc.) for the Dean of Watson College and other participants, communicating with representatives at various international universities/partners. Complete travel reimbursements ensuring compliance with international and state regulations;
- Responsible for paperwork pertaining to research related appointments as requested by the Dean;
- Monitor expenditures and maintenance of records, including managing and reconciling a purchasing card and various vouchers and receipts; performing records management using judgement and knowledge of office requirements, updating files and records, determining retention and purging schedules, and retrieving files.
Requirements:
- Bachelor's degree
- Five or more years of progressively increasing responsible related experience with proven administrative and customer service skills
- Effective oral/written communication skills
- Technical expertise in business management tools including spreadsheets, word processing, presentation tools, databases, and social media
- Proficient at editing/updating web-based information
- Detail oriented with the flexibility to multi-task while working on several projects with competing priorities and deadlines, and the ability to change direction as needed
- Interpersonal skills, with the ability to collaborate and communicate effectively with a diverse group of individuals, including faculty, staff and senior administrators, industry partners, students and visitors
- Ability to work independently and have a record of exceeding expectations
- Demonstrated ability to exercise sound judgement, handle confidential matters with tact and a high degree of discretion
- Ability to travel and work weekends and evenings, if needed
Preferred:
- Master's degree
