Description
PRIMARY JOB FUNCTION:
Supports the Folds of Honor by assisting in the administration and monitoring of programs, processes, and communications related to the Foundation’s scholarship programs. This position communicates with potential, current, and past recipients in addition to staff, donors, and other outside contacts, providing the most accurate, appropriate information about the Foundation’s scholarship programs. Also responsible for maintaining applicant and scholar information; relaying information and resources to both internal and external customers; and providing administrative support to the department.

- Manage and direct large amounts of incoming and outgoing calls and e-mails from scholarship applicants and recipients within 24 hours of receipt.
- Serve as initial contact and provide information on programs, eligibility, application, and the awarding process for applicants, recipients, parents, schools, donors, and alumni.
- Log incoming calls and/or inquiries within departmental systems, such as Elevate and/or Zengine.
- Manage email correspondence in Scholarships email box to ensure all email communication is handled in an appropriate, timely manner.
- Aid and follow up on various scholarship issues, including communication via email or phone with recipients, parents, and/or school personnel.
- Support the application and awarding processes by receiving, processing, and managing all applicant and scholar documents, information, and data, and assisting with the evaluation of documentation and award payments.
- Adhere to all scholarship deadlines.
- Assist with ad hoc reporting as needed.
- All other duties as assigned.
Requirements
SELECTION CRITERIA:
High school diploma and 1-4 years of customer service experience; PLUS the following job-related experience:
- Must be able to successfully demonstrate excellent customer service skills and respond to inquiries with great professionalism.
- Must be able to effectively communicate on sensitive and confidential matters to a variety of individuals at all levels, including customers and contacts.
- Must be able to successfully demonstrate professional, appropriate written and/or verbal responses to all customer inquiries by using correct grammar, punctuation, capitalization, etc.
- Must have the ability to explain technical details to non-tech savvy donors and applicants.
- Must be able to maintain confidentiality concerning donor, recipient, and scholarship information in compliance with all State and Federal laws, including PHI regulations.
- Demonstrated ability to prioritize and manage multiple projects and priorities.
- Demonstrated analytic, problem-solving, and research skills to sufficiently address issues even if the solutions are not immediately obvious.
- Proficiency in Microsoft Suite applications (Excel, Word, Outlook, and PowerPoint) is a must.
- Preference for individuals familiar with the military and/or processing and awarding of grants/scholarships.
PHYSICAL REQUIREMENTS:
- Mobility to travel in and around office surroundings.
COMMUNICATION REQUIREMENTS:
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
REASONING REQUIREMENTS:
- Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions.
- Ability to deal with problems involving a few concrete variables in standardized situations.
