Description
Monitor students' admission to the Teacher Education program. Coordinate College of Education placements into Missouri school districts for students enrolled in all field experience courses and some practicums as needed. Collaborate with faculty, students and school districts to secure Student Teaching placement. Process and monitor student background and fingerprinting checks that are sent to the office. Balance and manage office budge and make office purchases as needed. Review and prepare documentation for stipends and reimbursements for cooperating teachers, liaisons, and supervisors. Assist in collecting and reporting state required accreditation data. Support office coworkers as as needed with administrative duties.
Examples of Duties
Observation, Field, Practicum and Student Teaching Placements - 45%
- Monitor and track field experience and student teaching placements received from various school districts.
- Collect and maintain data on student field experience placement type to ensure a diverse experience.
- Notify students of their field experience and student teaching placements.
- Respond to inquiries regarding student observations, field placements, practicum and student teaching.
- Contact school district personnel to arrange student teaching placements and field experience observations.
- Create documents requesting student teaching placements for submission to various school districts.
- Advise students and faculty on placement issues.
- Process revisions and changes, as necessary, to student teaching documents.
- Coordinate field experience and student teaching filing systems and update it as needed.
- Create and maintain field experience (FLDX3000 and 4970) and student teaching courses in Banner as needed.
- Enroll approved students in student teaching courses.
- Assist with the required paperwork in processing teacher certification applications to the DESE, as needed.
- Ensure maintenance of student files in adherence to FERPA guidelines.
- Maintain computerized and manual files for student teaching placements, ensuring accuracy.
- Process parking permits for all university supervisors.
- Monitor travel expenses from university supervisors, check for compliance with fiscal policy, and submit through appropriate channels.
- Complete and process employment forms for University supervisors (FLAC) and cooperating teachers (W9s).
- Assist in monitoring student teacher candidates to ensure they have fulfilled all prerequisites, course work, maintained a minimum grade point average and ensure clear background checks.
- Work with academic departments to ensure each student teacher has departmental consent for the professional education semester.
- Assist the associate dean with internal and external documents including materials for Council for Accreditation of Educator Preparation (CAEP) accreditation and internal program reviews.
- Assist in creating reports related to student teaching for the DESE and CAEP.
- Serve as a resource for outside offices and faculty concerning student teaching placement.
- Prepare the reports for the APR and Title II for undergraduates.
Budget Coordinator - 20%
- Assemble and maintain comprehensive budget tracking methods. Administer and enforce University, College, and Office budget policies and procedures.
- Retrieve budget information from Banner, prepare, reconcile, and maintain regular budget reports and records of all budget-related paperwork.
- Prepare requisitions, payment requests, purchase orders, and other accounts-based documentation in compliance with University fiscal policies.
- Manage purchasing activities, prepare equipment supply purchases, place, receive, and inventory orders. Obtain estimates, place orders via approved methods, track shipping, and distribute supplies and equipment.
- Monitor and confirm University supervisor milage for student observations.
- Complete and process employment forms for University supervisors (FLAC) and cooperating teachers (W9s).
Teacher Education Program - 20%
- Advise students of the guidelines and requirements for admission to Teacher Education Program.
- Manage Teacher Education Program application procedures and admission.
- Post Teacher Education admissions for students in Banner.
- Record background check and fingerprinting results for undergraduate teacher candidates.
- Schedule student appointments with the Director for Local Clearance paperwork signing.
- Collect and process rap back waiver paperwork.
Office Management & Customer Relations - 15%
- Hire, train, and supervise student employees and approve and audit their timesheets.
- Foster a positive working relationships with public school administrators, public school teachers, and DESE.
- Present a positive attitude and image to the public.
- Provide customer service to walk-in, emails, and phone calls about teacher education, basic certification, and other inquiries related to Clinical Services and Certification.
- Connect individuals with the appropriate contacts for inquiries not appropriate for our office.
- Maintain positive working relationships with faculty, staff and administrators within the college and across campus.
- Compose letters and memos.
- Schedule meetings and appointments for the Director as needed.
- Assist in Clinical Services and Certification meetings and projects as needed.
- Maintain department files and historical records.• Provide assistance to the Dean's office in gathering information for reports as needed.
- Call-in work orders to repair malfunctioning equipment. Submit phone and network access requests.
Typical Qualifications
Education:
- Associate's degree, Education/Experience substitution.
Experience:
- Three (3) years of experience with direct public contact in a customer service capacity required, with the three (3) years of experience preferred in a professional office setting.
- One (1) year of administrative support experience, two (2) years preferred.
- One (1) year budget operations, financial analysis, or accounting required. Two (2) years preferred.
