JOB SUMMARY
The Hawaii Alliance of Nonprofit Organizations (HANO) is seeking a full-time Operations Manager to serve as the organizational backbone that keeps our mission moving. HANO connects, strengthens, and advocates for Hawaii's nonprofit sector—and this role ensures the internal systems, processes, and infrastructure are in place to make that work possible.
Reporting directly to the President & CEO, the Operations Manager is a trusted operational partner who owns the day-to-day functioning of the organization. This is an individual contributor role that blends strategic operational ownership with hands-on administrative responsibilities, and is ideal for someone who is equally comfortable designing a system and executing the details that keep it running.
This position is well-suited to a collaborative self-starter who thrives on variety, takes pride in building efficient systems, and finds deep satisfaction in being the person who makes things run smoothly behind the scenes—all in service of strengthening Hawaii’s nonprofit community.
KEY RESPONSIBILITIES
General Operations & CEO Support
- Serves as operational partner to President & CEO, managing organizational systems and infrastructure.
- Develops and implements operational policies, procedures, and workflows that improve organizational efficiency.
- Manages vendor relationships and organizational contracts across operational functions.
- Manages organizational insurance policies (general liability, D&O, cybersecurity, etc.).
- Ensures organizational compliance with operational requirements, necessary registrations, and best practices.
- Maintains organizational records, bylaws, and legal filings.
- Provides support for board relations and governance activities as needed.
Financial Operations
- Supports accounting and finance staff/consultants with reports, ACH/wire transfers, Bill.com functions, data analysis, and other necessary documentation.
- Processes accounts receivable documentation and coordinates deposit activities.
- Uploads bills and invoices to organizational systems for accounting processing.
- Handles contracting, payments, invoicing, and vendor payment inquiries.
- Creates and reviews monthly accounts payable and account reconciliation reports to ensure accurate coding.
Team & Culture
- Coordinates with HANO's PEO provider for payroll, employee benefits, and HR compliance.
- Manages onboarding and offboarding logistics for team members and consultants, including personnel files, activation/deactivation of user accounts, and equipment.
- Supports team meeting logistics, including recording and distributing meeting minutes.
- Coordinates team events, lunches, retreats, wellness activities, and staff bonding experiences.
- Tracks professional development and staff wellness expenditures.
Development & Donor Relations
- Provides administrative support for donor/funder communications and acknowledgments.
- Tracks grant deliverables and sponsor benefit fulfillment.
- Supports donor/funder recognition activities and stewardship communications.
- Generates donor reports and prospect research as requested.
Office Management, Logistics, and Information Technology
- Manages office operations, appearance, and maintenance.
- Manages equipment, orders office supplies, snacks, drinks, etc.
- Serves as the primary point of contact for landlord relations.
- Organizes and responds to general office correspondence (postal, email, voicemail).
- Coordinates periodic team lunches and wellness events.
- Fulfills internal and external gift requests (team welcome gifts, partner gifts, etc.).
- Tracks organizational subscriptions, software purchases, and recurring payments.
- Serves as IT point person and manages relationships with external IT partners.
- Acts as systems admin for online tools and subscriptions.
- Supports team IT requests and manages personnel/office equipment.
QUALIFICATIONS & CORE COMPETENCIES
- 3+ years of experience in nonprofit operations and/or administrative management; experience with nonprofit development (fundraising) operations a plus.
- Operational management experience including systems development, process improvement, and organizational infrastructure.
- Some experience with HR or people operations, including familiarity with payroll, onboarding/offboarding, or working with a PEO provider.
- Basic IT proficiency, including comfort serving as an internal point of contact for tech troubleshooting and managing online tools and subscriptions.
- Comfort with confidential and sensitive matters requiring diplomacy.
- Ability to think creatively and take initiative, and manage multiple projects simultaneously.
- Proficient with key office software, including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets, Slides, Forms), Adobe Acrobat Pro, and web conferencing platforms (e.g., Zoom).
- Experience with CRM and other data management software preferred.
- Experience with financial software (QuickBooks Online, Bill.com) preferred.
- Strong communication skills; comfortable communicating with compassion and understanding.
- Ability to meet deadlines and follow through to completion of assigned projects.
- Willingness to participate, share thoughts, and perspectives in open team conversations and to ask for help when needed.

COMPENSATION
Salary range: $55,000-75,000/year. Compensation will be dependent on experience that will be discussed and vetted throughout the interview process.
