Preferred Qualifications Position Summary
Reporting to the Department Head, the Lending Specialist is responsible for ensuring the provision of prompt, courteous, and high-quality interlibrary lending services to libraries and institutions requesting UGA materials. This role manages the daily operations of the Lending Unit, ensures compliance with copyright laws, licensing agreements, and interlibrary loan best practices, and maintains consortium commitments and professional obligations. The Specialist performs bibliographic searches to process routine and complex requests, provides training and direction to part-time staff, and ensures all interactions with library users and partner institutions are efficient and professional.
Knowledge, Skills, Abilities and/or Competencies
- Familiarity with interlibrary loan operations or comparable library public services
- Ability to search bibliographic records using an integrated library system or library services platform
- Proficient with Microsoft Excel, Google Sheets, or similar platforms for data collection, reporting, and documentation
- Knowledge of one or more foreign languages
- Demonstrated ability to train and direct the work of others
- Ability to perform routine tasks accurately with close attention to detail
- Ability to function effectively in a high-volume, production-oriented environment
- Effective verbal and written communication skills
- Ability to establish and maintain effective working relationships with colleagues and partner institutions

Core Lending Operations, Supervision, & Training
• Process requests for UGA materials from other institutions using specialized bibliographic tools and knowledge of UGA Libraries collections, policies, and procedures
• Perform bibliographic searches in ILLiad, looking up call numbers, retrieving materials, and updating statuses
• Manage rush and non-rush article requests, including RapidILL requests requiring 24-hour turnaround
• Ensure quality control and timeliness of all lending transactions
• Train and direct the work of part-time and student employees
Oversee daily activities of the Lending Unit staff
Percentage of time 35 Duties/Responsibilities
Coordination & Communication
• Maintain daily communication with campus branch libraries (Science, Music, Art, Curriculum Materials) and the Repository
• Coordinate with User Services staff regarding material circulation, lost or damaged items, and reshelving procedures
Collaborate with ILL Borrowing unit on shared mail and shipping operations

Shipping & Materials Handling
• Process and distribute materials through appropriate shipping methods (ARCHE courier, USPS, UPS/FedEx)
Sort and route incoming and outgoing materials daily

Administrative Support
• Maintain office supply inventory and place orders
• Process monthly invoicing for non-consortial libraries through Libraries Financing and Accounting
Handle billing for lost borrowed items and coordinate payment processing with User Services

Maintains flexibility and awareness of changes and needs in the office and organization by assuming similar duties and responsibilities as assigned
